Privacy Policy

BeachSports takes the privacy of your family — and especially your children — seriously. This policy explains what we collect, why, and the control you have over it.

1.Who we are

This platform is operated by BeachSports, LLC (“BeachSports,” “we,” “us,” or “our”), a California limited liability company based in Hermosa Beach, California. We run youth beach-sports camps and use this platform to register participants and operate our programs.

In this policy, “BeachSports” also includes, where relevant, our owners, managers, members, employees, contractors, instructors and coaches, and our service providers, licensors, and program partners who help us deliver camps — each of whom is bound to handle your information consistently with this policy.

2.Scope of this policy

This policy applies to information we collect through the BeachSports registration platform at register.beachsports.com and related pages, and through the accounts and forms you complete when you register a child for a camp. It does not cover third-party websites we link to, or our marketing site, which may have their own notices.

This platform is designed to be used by parents and legal guardians to register the children in their care. It is not intended for use by children themselves.

3.Information we collect

We collect the information needed to register a child and safely run a camp:

Guardian & account information

  • Your name, email address, and phone number.
  • A contact email you choose for camp updates (which may differ from your sign-in email).
  • Sign-in credentials — you sign in with Google or with a one-time 6-digit code we email you. We do not create or store a password for you.
  • A 4-digit pickup PIN you set for your family, used to authorize child pickup.

Participant (child) information

  • The child’s first and last name and date of birth.
  • Health and safety information you provide — allergies, whether an EpiPen will be provided, and related medical notes needed to keep your child safe.
  • Activity-related details such as swim ability and school, where requested.
  • Friend or group requests you make so children can be grouped together.
  • Your photo/media consent choice for the child.

Registration, payment & agreement records

  • The camps, sessions, and add-ons you register for.
  • Payment records — amounts, dates, deposit and balance status, and refunds. Card details are handled by our payment processor; see Payments below.
  • Signed waivers and consents — including the text you agreed to, your typed signature, the date and time, and technical details (such as IP address and browser) that record a valid electronic signature.

Technical information

  • Basic device and usage information and strictly necessary cookies used to keep you signed in and to operate the checkout. We do not use advertising cookies on this platform.

4.Children’s information

BeachSports camps are for children, so we necessarily handle children’s information — but we collect it from the parent or legal guardian registering the child, not from the child. By registering a child, you confirm you are the child’s parent or legal guardian (or are otherwise authorized to provide this information and consent) and you consent to our collection and use of the child’s information as described in this policy.

We do not knowingly allow children under 13 to create accounts or provide their own personal information through this platform, and we do not sell children’s information or use it for targeted advertising. We collect only what we need to register a child and run our camps safely. If you believe a child has provided us information directly without a parent’s involvement, contact us at register@beachsports.com and we will delete it.

5.How we use information

We use the information above to:

  • Register your child, process your order, and manage enrollments, transfers, and cancellations.
  • Keep participants safe — including making allergy and medical information available to the coaches and staff running your child’s camp.
  • Process payments, collect balances due, and issue refunds under our published refund policy.
  • Communicate with you about your registration, camp logistics, and account.
  • Group children according to friend requests where we reasonably can.
  • Maintain records of the agreements and consents you provide.
  • Operate, secure, troubleshoot, and improve the platform, and comply with our legal obligations.

We do not sell your or your child’s personal information, and we do not use it for third-party advertising.

6.How we share information

We share information only as needed to run our camps and this platform:

  • Camp staff and coaches — with the BeachSports team members running your child’s session, so they can operate the camp and respond to safety needs. Access to sensitive details is limited to those who need it, and financial details are restricted further.
  • Service providers — trusted companies that operate parts of the platform on our behalf, under contracts that require them to protect your information: our payment processor (Stripe), our email provider (Resend), and our hosting and database providers (Vercel and Supabase). They use your information only to provide services to us.
  • Program partners — for camps operated together with a municipality or partner (for example, a City-operated program), we share the roster information needed to run that program.
  • Legal and safety — when required by law, to respond to legal process, or to protect the safety of a child, you, our team, or the public (for example, in a medical emergency).
  • Business transfers — if BeachSports is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction, subject to this policy.

7.Payments

Payments are processed by Stripe. We do not store your full card number on our systems. When you choose to pay a deposit now and the balance later, you authorize us to securely save your payment method with Stripe and to automatically charge the remaining balance on the due date shown at checkout. Stripe processes your card information under its own privacy policy and security standards.

8.Communications

We send transactional messages related to your registration — confirmations, receipts, balance and payment notices, reminders to finish required forms, and camp logistics. These are part of the service and are sent to the contact email on your account. Where you provide a phone number and we offer text updates, standard message and data rates may apply and you can opt out of non-essential texts at any time.

9.Photos & media consent

During registration you tell us whether we may photograph or film your child for BeachSports use. We honor your choice, and you can change it — contact us and we’ll update your child’s media consent. Your choice is recorded with your child’s record and with the waiver you sign.

10.Data retention

We keep your information for as long as your family maintains an account with us and as long as needed to run our camps, then for a reasonable period afterward to meet legal, accounting, tax, safety, and dispute-resolution obligations. Signed waivers and payment records are retained longer because they document binding agreements and transactions. When information is no longer needed, we delete or de-identify it.

11.How we protect information

We protect your information with a combination of technical and organizational safeguards: encryption in transit, database-level access controls that limit each record to the accounts and staff permitted to see it, restricted internal access, and audit logging of changes to sensitive children’s data (such as medical details and the pickup PIN). No system is perfectly secure, but we work to protect your information and to respond promptly if something goes wrong.

12.Your rights & choices

You can access and update most of your family’s information through your account, and you may ask us to help with the rest. Depending on where you live, you may have the right to:

  • Access the personal information we hold about you and your child.
  • Correct information that is inaccurate or incomplete.
  • Delete information, subject to records we must keep (such as waivers and payment history).
  • Withdraw a consent you previously gave, such as media consent.

To exercise any of these, email register@beachsports.com. We will verify your identity as the parent or guardian before acting on a request about a child.

13.California privacy rights

BeachSports is based in California. If you are a California resident, you may have rights under California law to know what personal information we collect and how we use and share it, to request access or deletion, and to not be discriminated against for exercising these rights. We do not sell personal information and do not share it for cross-context behavioral advertising. To make a request, contact us at the email above.

14.Changes to this policy

We may update this policy from time to time. When we make material changes, we will update the “Last updated” date at the top and, where appropriate, notify you. Your continued use of the platform after an update means you accept the revised policy.
